Preparation checklist
List of your employees β€” name, email, team, site, role. A spreadsheet works perfectly for the CSV import.

Phase 1
Set up your account
Configure your organisation's profile and skill level system before adding any users.

Sign in as Planner
Log in with the planner credentials provided. You'll land on the main dashboard. This is your admin view β€” users see a different, simpler interface.

Configure skill levels
Go to Smart Planning β†’ Skill level config. Define how many skill levels you use and what they mean (e.g. 0 None β†’ 5 Expert). Mark the minimum competent level.

Set required level per training
Still in Skill level config β€” set the minimum skill level required for each training. This can differ per training (e.g. GMP Basic requires Level 4 / Advanced).

Create training profiles
Go to Planning β†’ Training profiles. Create named profiles (e.g. "Operator Basic", "QA Specialist") by grouping the relevant trainings. These filter the calendar view for supervisors.

Tip β€” start with your most common role
Build the "Operator Basic" profile first. It's usually your largest group and will drive the most calendar activity. You can always add more profiles later.

Phase 2
Import your people
Add everyone who will use TrainSync β€” trainees, trainers, and supervisors.

Add users manually or via CSV
Go to People directory β†’ Add user. For each person enter: full name, company initials (≀3 chars, e.g. AK-01), primary email, secondary email (for notifications), phone, team, site, and supervisor.

Assign roles and supervisors
Every user needs a role (user / trainer / supervisor / planner) and a supervisor. Supervisors see their team's calendar filtered by profile. Trainers appear in the smart scheduler.

Add trainers and their skills
Go to Trainer scheduler β†’ Trainer roster. For each trainer, click Skills and set their level (L1–L3) per training. This feeds the smart matching engine.

Set trainer schedules
For each trainer, click Schedule and set their working hours per day and add recurring occupied blocks (meetings, inspections, admin time). This is what the smart matcher reads.

Company initials are important
Company initials (e.g. AK-01) are embedded in all electronic signatures and training certificates. Make sure they match your existing paper records before you start signing digitally.

Phase 3
Configure trainings & skill matrix
Assign required trainings to each person and set their current skill levels and targets.

Assign required trainings per person
In Skill matrix, each person-training cell shows their current level. Required trainings are set via the person's profile β€” edit each person and set their required training list.

Set current skill levels
Click any cell in the skill matrix to update a person's current level. If you have existing paper records, enter those completed levels now β€” it gives you an accurate starting point.

Set target levels
For each person-training, also set the target level they should reach. This is what the completion predictor and skill progress % are calculated from.

Create signature templates
Go to Signature builder. Create a template for each training type β€” add signature fields, initials, checkboxes, and instructions. Assign each template to the relevant training.

Schedule sessions & sign records
Start planning your first training sessions and capture your first digital signatures.

Add training demand
In Smart Planning β†’ Conflict resolver β†’ Training demand, add demand items for upcoming training needs. Set urgency, preferred days and number of trainees.

Use smart suggest
Click Smart suggest. The engine scores all trainers 0–100 based on skill, availability and site. Click Book this slot on the best match β€” it blocks the trainer's calendar.

Enroll trainees
In the skill matrix, pulsing cells show open slots for people who need upskilling. Click a cell β†’ Enroll in open slot. An email invite is sent to their primary and secondary email.

Capture digital signatures
After the training, open Signature builder β†’ Fill & sign. Select the right template, go through each signature field in order, and submit. The record is GxP-locked with a timestamp.

Recurring sessions save time
When adding a session to the calendar, tick "Set as recurring" and choose Weekly / Monthly / Quarterly. EHS refreshers, GMP refreshers and other recurring trainings only need to be set up once.
